Enterprise billing and financial workflows

Invoices, pro forma invoices, credit notes, refundable deposits and retention, built so every amount can be traced and every change explained.

My role
Senior Software Engineer. Data model, services, APIs, events and the operator-facing screens.

The problem

Business customers are billed through a chain of financial documents: pro forma invoices before work starts, invoices when it is delivered, credit notes when something changes, refundable deposits held against a contract, and retention amounts released later.

Each document depends on the ones before it. A mistake does not stay local: it shows up on a customer’s statement, in the finance team’s reconciliation and in the ERP. The system has to be correct, explainable and safe to change while it is in daily use.

Approach

  • Model the money first. Each document type gets an explicit data model and lifecycle, so the state of any amount can be answered from the data rather than reconstructed from logs.
  • Keep multi-step changes consistent. Operations that touch several records run as one unit of work, so a failure leaves the books as they were, not half updated.
  • Separate rules from plumbing. Billing rules live in a service layer, apart from controllers and persistence, so they can be read, tested and changed on their own.
  • Publish what happened. Significant financial events go onto a message queue, so integrations and reporting react to them without coupling to the billing code.
  • Design for the people who operate it. Finance and operations teams use these screens all day, so the interface favors clarity and fewer clicks over decoration.

Why it matters

Billing is where software meets the balance sheet. The engineering goal is not only that the numbers are right today, but that anyone can see why they are right, and that the next change will not quietly break them.
